1. Information we collect
Information you give us. When you request a free assessment, contact us, call us or email us, we collect what you provide: your name, firm name, role, email address, phone number, website address, province, practice area, the services you are interested in and anything you write in a message. If you become a client, we also collect billing details and the information needed to deliver the services you engage us for.
Information collected automatically. When you visit our website, we and our service providers collect technical information such as your IP address, browser and device type, the pages you view, the links you click, the site that referred you and the approximate location associated with your IP address. This is collected through cookies and similar technologies, described in Section 5.
Information from other sources. If you contact us about your firm, we may review publicly available information about the firm, such as its website, directory listings and social media profiles, to prepare for our conversation or to complete an assessment you have requested.
2. How we use your information
We use personal information to:
- respond to your enquiry and deliver the free assessment you requested
- provide, manage and bill for the services you engage us for
- communicate with you about your assessment, your engagement or your account
- send you marketing communications where you have consented to receive them (see Section 4)
- operate, secure and improve our website and understand how it is used
- measure the performance of our own advertising
- comply with legal obligations and enforce our agreements
We do not sell personal information, and we do not use it for automated decisions that have a legal or similarly significant effect on you.
3. Consent
We collect, use and disclose personal information with your consent, except where the law permits or requires otherwise. By submitting a form, calling or emailing us, you consent to our use of the information you provide for the purpose you provided it. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us at the address in Section 12. Withdrawing consent may limit our ability to provide services to you.
4. Marketing communications
We send commercial electronic messages only in accordance with CASL. If you request a free assessment or contact us about our services, we may send you messages related to that request. We send other marketing messages, such as newsletters or updates about our services, only where you have opted in. Every marketing message we send includes an unsubscribe link, and requests are processed within ten business days. You can also unsubscribe by emailing hello@veritaslegalmarketing.ca.
5. Cookies and analytics
Our website uses cookies and similar technologies for the following purposes:
- Necessary: to make the site work, remember your form entries and protect the site from abuse.
- Analytics: we use Google Analytics to understand how visitors use the site. Google Analytics collects information such as pages viewed, time on site and approximate location, and sets cookies to distinguish visitors. IP addresses are not stored in the reports we see. You can learn how Google uses data from sites that use its services at policies.google.com/technologies/partner-sites.
- Advertising measurement: we use Google Ads conversion tracking to measure whether our own advertising leads to enquiries. We may also use remarketing cookies so that people who have visited our site can see our advertising on other websites. You can opt out of personalized Google advertising at adssettings.google.com.
You can control cookies through your browser settings. Blocking necessary cookies may affect how the site works. Where required by law, we ask for your consent before setting analytics or advertising cookies.
6. Sharing your information
We share personal information only as described here:
- Service providers who process information on our behalf, such as website hosting, form handling, customer relationship management, email delivery, analytics, advertising platforms, call handling and payment processing. They may access personal information only to perform services for us and are bound by contractual obligations to protect it.
- Professional advisors such as lawyers, accountants and insurers, where necessary.
- Legal requirements. Where required by law, court order or a lawful request by a public authority, or where necessary to protect our rights, property or safety or those of others.
- Business transactions. If Above The Fold Media Inc. or the Veritas Legal Marketing business is sold, merged or reorganized, personal information may be transferred to the successor, who will be bound by this policy or one substantially similar.
We do not share your information with other clients, and we do not disclose which firms we work with without their permission.
7. Where your information is stored
We are located in Toronto, Ontario. Some of our service providers, including analytics, advertising, email and cloud hosting providers, store and process information on servers in the United States or other countries. While information is outside Canada it is subject to the laws of that jurisdiction, and may be accessible to that jurisdiction’s courts, law enforcement and national security authorities. We use contractual and other measures to require a comparable level of protection.
8. Retention
We keep personal information only as long as needed for the purposes described in this policy or as required by law. Enquiry information that does not lead to an engagement is kept for up to 24 months. Client and billing records are kept for seven years after the end of the engagement to meet tax and legal requirements. Analytics data is retained according to the settings of the analytics provider, currently 14 months. When information is no longer needed we delete it or make it anonymous.
9. Information we handle for our law firm clients
When we provide marketing services to a law firm, we may access information belonging to the firm or its clients, for example website content, reviews, analytics, advertising accounts, intake data or testimonials. We process that information only on the firm’s instructions, only to deliver the services in our agreement, and subject to the confidentiality obligations in that agreement. The firm remains responsible for that information under its professional and legal obligations, including its law society’s rules. We do not use a client firm’s information for any other purpose, and we do not publish results, testimonials or case studies about a firm without its permission.
10. Security
We protect personal information with physical, organizational and technical safeguards appropriate to its sensitivity, including access controls, encrypted connections, secure credential storage and staff confidentiality obligations. No method of transmission or storage is completely secure. If a breach of security safeguards creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.
